What user data Money Alive Office stores

Last updated 29 April 2026

Money Alive Office stores personal data for two kinds of user: viewers (or clients) — the end users an adviser invites to a journey — and system users — the advisers and admins inside a firm who use the platform to invite, manage and report on those journeys.

This article describes what's held for each, where it lives, and how to remove it.

Viewers (or clients)

When an adviser adds a viewer to Money Alive Office, the platform stores a small set of personal data about that viewer so it can deliver journeys, generate reports and let the viewer sign in.

Data Source Why we store it
First name and surname Added by the adviser Personalises the invite email and the journey report
Email address Added by the adviser Sends the invite, sends single-use access codes, and identifies the viewer at sign-in
Journey invitations Generated when the adviser invites the viewer Records which box sets the viewer has been invited to and when
Access codes Generated by Money Alive Office at sign-in Single-use, time-limited codes that authenticate the viewer. Codes expire and are not reusable
Journey progress Recorded as the viewer watches Tracks which videos in a box set have been viewed and when
Adviser notes and outcomes Added by the adviser Internal record against the viewer journey (see Add notes to a client journey and Set a journey outcome)

Viewers do not have passwords — they sign in with single-use access codes only.

System users (advisers / admins)

System users are added to Money Alive Office by an admin in their firm. The platform stores the data needed to give them access, identify them in audit trails, and let them be contacted by support.

Data Source Why we store it
First name and surname Added when the user is created Personalises the interface and journey reports
Email address Added when the user is created Sign-in identifier and contact for password resets
Password (hashed) Set by the user during account setup Authenticates the user. Stored as a one-way hash — never as plain text
Role / permissions Set by an admin in the firm Controls what the user can see and do
Firm membership Set when the user is created Scopes the user's access to their firm's clients and journeys

Where it's stored

All viewer and system-user data is held on Money Alive Office's core platform, which stores its data inside the European Economic Area (EEA). A small number of supporting providers — for example Cloudflare for security and DDoS protection — operate outside the EEA but only ever access network-level metadata such as IP addresses and page views, never names or contact details.

For the full picture, see Do we transfer data outside the EEA? and Third parties & sub-processors.

Lawful basis and retention

The lawful bases under which FCX Technologies Limited processes user data, and the retention periods we apply, are described in the Money Alive Office Privacy Policy. The same policy explains the rights a data subject has and how to exercise them.

Removing user data

Neither viewers nor system users can be deleted from inside Money Alive Office. Advisers and admins can archive records, and the FCX Technologies Limited support team handles all deletions.
